Backing Up your Data

Did you know...

HIPAA requires that your organization keep a copy of your patient database records offsite?

It is critical that you perform a daily data backup.

You need to not only back up your eHCS data files, but you also need to copy your backup file to a removable media such as a flash drive, which your HIPAA security officer should arrange to have taken offsite.

  • To back up your data you need administrator permissions
  • With administrator permissions you see the Administration Tab

To backup your data to your desktop:

  • Click the Administration Nav Tab
  • Click the General Administration Page tab
  • Click the Request Backup located at the bottom of the page

    The system will confirm your request receipt.

  • You must return to this page during next business day to retrieve your backup file

To save your backup file to your local PC:

  • Wait for the system to prompt you to save your backup file
  • The backup file is named Account_Backup.exe
  • If you are able to rename your backup file, you should name it as in this example: Account_backup_mm-dd-yyyy.exe
  • mm-dd-yyyy should be today's date.
  • Click the save button.
  • Copy this backup file to a removable media (such as drive D: or E: or F:).
  • Take the removable media offsite.
  • Be sure to bring it back to work for your next day's backup.
